SSBGC 1Q Directors Meeting Minutes 

January 6, 2020

 

ATTENDEES

 

Greg Roberts, Ray Sandoval, Greg Gomez, Kevin Finney, Ed Ornelas

 

MEETING CALLED TO ORDER at 9:55 a.m.

 

OLD BUSINESS

 

The minutes of the October 4th, 2019 4Q Board meeting were previously approved via emails and posted on our web site. Reviewed by new board.

 

NEW BUSINESS

 

Continue to educate the club on New Handicap system and how to Record Scores. Making sure All Executive Board members are available at Tournaments to answer questions about the New Handicap System.

 

Executive Board has decided that Tournament Reports will be run on the 1st and the 15th and those numbers will be used as the starting point to figure Tournament Handicaps.

Club Chairperson voted on by Board Members. Ray Sandoval nominated by Kevin Finney - M/S/V 4 Yea 0 No

Ray abstained.

 

With turnover of three Executive Board Members Definition of Duties and Responsibilities has changed to:

 

Handicap Chairman Duties - Greg Roberts 

  • will be in charge of approving new applications. 

  • will also be in charge of who has renewed or dropped off and making sure to keep an up to date E-roster. 

  • Handicap Chairman will no longer contact members to renew as this is done all through email and the SCGA. 

  • Will no longer have to keep paper files on handicaps.

  • Will do peer review if other members bring into question a members handicaps. 

  • Will also collect all monies before tournament, pass out monies owed from winnings of previous tournaments, pass out and account for all winnings day of tournament. 

  • Will also post all scores from tournaments on GHIN.

 

Tournament & Finance Director duties – 

  • Same as duties that are in the by-laws. Also record minutes of the meetings.

  • Greg Gomez will coordinate with Ray at year-end audit.

 

Rules and Archive Director – Ed Ornelas 

  • will be in charge of all Rule questions and will make rulings at the tournaments. 

  • will no longer take polls about the courses after the tournaments.

  • will also, direct members that if a rule dispute happens on the course to ask all the members of your group their input that way you can possibly get a correct answer if you aren’t sure. If not play the 2nd ball rule.

  • will coordinate the General election at November meeting

 

Special Events and Entertainment  Director will now be Event Day Director – Will be Kevin Finney and Greg Gomez

 

Decided on who will do miscellaneous Tournament Day duties

 

Pre-tournament duties 

 

Ray Sandoval - including but not limited to: creating and sending out initial announcement, collecting green fees, figuring groups, flights, CTP holes & Circle hole, creating scorecards, rule sheets, CTP placards, figure wager distributions, send starter sheet to members and course, create Big Sheet passing out materials day of tournament, collecting unpaid tournament fees, give instructions on who is to take out and pick up placards, communicate info at carts

 

Greg Roberts – Collecting wager fee (Greg Gomez will help collect from late arrivals), passing out winnings from previous tournaments

 

Post Tournament duties 

 

Greg Gomez and Kevin Finney – will collect scorecards, verify scores with volunteers and be in charge of completing the big sheet, figuring winners, skins, and collecting placards

 

Ed Ornelas – deal with any questions on rules that may include penalizing strokes or disqualification

 

Ray Sandoval – Make any club announcements about future events and relay any other pertinent club info. Will keep track of Knuth points, and championship point totals and net score averages.

 

Greg Roberts – Pay out all winnings with help of Greg and Kevin. Keep track of all people who left early with their winnings. Post all scores.

 

Ask Ted Sonju if he would like to still manage the website i.e. post the results and any other information on the website. Will report back at next meeting on his decision.

 

Discussed at length the prices of tournaments and Ray will continue to ask that as a Senior Club if we can get a Senior Club rate. Also, to pay for range balls on a per person usage if courses will allow us instead of charging for everyone.

 

Discussed changing the signature card of the bank account

 

New Members – Mike Adrid, Tom Hardesty, Vincent Lyday, Tony Martin

 

Greg Gomez made the excellent recommendation to make sure as Board Members we each know how to do as many jobs as possible.

 

Greg Gomez recommended selling hats and shirts and will look at prices and creating a logo for the club and report back at next meeting.

 

Tentative Board Meeting Schedule for 2Q in 2020 Monday April 6th

Third Quarter July 6th, Fourth Quarter before November tournament
